Overview
As the Event Intern, you will support the planning, coordination, and execution of events to ensure seamless and memorable experiences for attendees. Reporting to the Director of Philanthropy & Partnerships, you will assist with all logistical details, vendor coordination, administrative tasks and on-site event support.

As the Event Intern, you will support the planning, coordination, and execution of events to ensure seamless and memorable experiences for attendees. Reporting to the Director of Philanthropy & Partnerships, you will assist with all logistical details, vendor coordination, administrative tasks and on-site event support.
*Please note this is a 16 week long fixed-term contract and due to the nature of this position, preference will be given to candidates located in the Greater Toronto Area (GTA) or Greater Vancouver Area (GVA)*
Who You Are
You are a highly organized and detail-oriented individual with a strong interest in event planning and coordination. You enjoy managing logistics, supporting team members, and ensuring events run smoothly from start to finish. You bring a proactive mindset, strong communication skills, and a willingness to jump in wherever needed.
What You Will Be Doing
- Assist with event planning, including scheduling, applying for permitting, and vendor communications and coordination.
- Maintain event timelines, checklists and registration lists.
- Support with distribution of event materials, invitations, and communications.
- Respond to event inquiries via phone and email.
- Assist with post-event administration, including reporting and Salesforce data entry.
- Resolve minor issues and contribute to a smooth event flow.
- Assist with third-party event supporter needs.
- Other duties as assigned.
What You Bring
- Demonstrated experience in event planning, coordination or administrative work.
- Strong organizational and multi-tasking abilities with excellent attention to detail.
- Proactive mindset and ability to work in a team, as well as to solve problems independently.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office.
- Ability to lift up to 25 lbs to chest height.
- Assets:
- Experience in customer service.
- Experience with Salesforce.
How You Will Be Measured
- Events are executed on time and according to event plan, with minimal issues.
- Event checklists, schedules, post-event reports and data entry are completed accurately and on time.
- You provide timely and reliable support to team members to ensure a smooth event process.
- Positive feedback from vendors, partners, and colleagues related to communication and coordination.
- Issues and/or last-minute changes are handled calmly and effectively.
- You identify small improvements to processes and event execution to enhance overall efficiency.

This part-time, fixed-term contract position offers:

- An hourly rate, $20 per hour, in line with market data for not-for-profit organizations

Where and How You’ll Work
Our typical work week is 37.5 hours; however, for this part-time role, you will work 15 hours per week. As mentioned, this is a remote-first position with the option to work at our headquarters in downtown Vancouver. The role will require flexibility to travel for meetings and/or to work occasional weekends and evenings to attend Ocean Wise shoreline cleanups, events, and conferences.
This role involves sitting, standing, working on a computer or laptop, participating in phone and video calls.
